A clerk’s draft, not a blank page

Formal sessions are long and the minutes have to be exact: who proposed what, how the vote went, what was resolved. Writing them from a five-hour recording takes a day. MinutesMaster gives the clerk or secretary a complete draft soon after the upload, with the full transcript next to it to check every resolution.

The Board / committee meeting template records attendance and quorum, every motion with the votes for, against and abstaining as they were stated, and the resolutions — failed motions included, marked as not adopted. Czech municipalities and owners’ associations also get dedicated formats for a municipal council session and an SVJ assembly.

Sessions are often filmed for the public: upload the video (up to 2 GB) or its audio track, or paste the YouTube link of the published stream. A 4-hour session uses 8 credits; the 5 free credits cover 2.5 hours, enough to try it on a committee meeting first.

How it works

From session recording to minutes for approval

Municipal councils, boards of directors, supervisory boards, committees, associations and AGMs.

  1. 1

    Bring the recording

Upload the audio or video of the session (up to 8 hours, 2 GB), paste the YouTube link of a published stream, or record the meeting on a phone or laptop.

  2. 2

    Choose the format

Board / committee meeting for most sessions; Municipal council session or SVJ assembly for Czech formal minutes. Pick the language or leave it on auto-detect.

  3. 3

Check the draft against the record

Every resolution and task links back to the moment it was said. Correct a name or a figure once and the change carries through to the minutes and exports.

  4. 4

Export for approval and the archive

Download the minutes as Word for the approval round or as PDF for publication, with the full transcript as an annex where your rules ask for one.

Features

What formal minutes need

The structure a secretary would write — from the recording itself.

  • Motions and vote counts

One row per vote: the motion, the votes for, against and abstaining as stated, and the result — failed motions included.

  • Attendance and quorum

Who was present and whether the meeting was quorate, as stated at the start of the session.

  • Every speaker named

Members, officers, guests and the public are separated by voice; name each speaker once for the whole session.

  • Sessions up to 8 hours

No splitting a long session into parts — one recording, one transcript, one set of minutes.

  • Word and PDF

Export to DOCX for the approval round and PDF for publication; translate the minutes for members who read another language.

  • Search past sessions

Ask MinutesMaster when a topic was last discussed or what was resolved about it, with links to the exact moments.

Use cases

Who uses it

People who sign the minutes — and people who have to read them.

  • Municipal clerks and town offices

Council and committee sessions turned into a draft the next morning instead of the next week.

  • Company secretaries

Board and supervisory board meetings with motions, votes, resolutions and actions with owners.

  • Associations and owners’ associations

Annual general meetings and members’ assemblies with attendance, votes and the next meeting.

  • School and university bodies

School boards, academic senates and faculty boards; Czech schools also get a dedicated teachers’ council format.

  • Volunteer and NGO boards

Boards without a minute-taker: record the meeting, upload it and send the draft to the chair.

  • Journalists and citizens

Follow long public sessions by reading and searching the transcript instead of watching the stream for hours.

FAQ

Frequently asked questions

Can AI write the minutes of a council or board meeting?
Yes, as a draft. MinutesMaster transcribes the recording and writes minutes with attendance, motions, vote counts and resolutions; the clerk or secretary reviews and approves them. The full transcript stays attached for checking.
How long can the session recording be?
Up to 8 hours and 2 GB per file. Every 30 minutes uses 1 credit, so a 4-hour session uses 8 credits.
Does it record the vote count?
Yes, when the result is said aloud in the meeting (“17 in favour, 2 against”): it goes into the votes table with the motion and the result. If votes are only shown by hands and never announced, add the count while you review the draft.
Can I use the YouTube stream of our council session?
Yes. Paste the link of the published video and MinutesMaster transcribes it and writes the minutes, just like an upload.
Is there a format for Czech municipal councils?
Yes. Czech municipalities can use the municipal council session format (zápis ze zasedání zastupitelstva), and owners’ associations the SVJ assembly format; both follow the usual Czech structure, with numbered resolutions and the votes.
Can members who speak another language read the minutes?
Yes. Translate the minutes or the full transcript into any of 38 languages; translation uses no credits and the original is kept.
Are the AI minutes official?
They are a draft for your clerk or secretary. Approval, signatures and publication follow your organisation’s rules; MinutesMaster doesn’t certify transcripts or minutes.
Is our recording used to train AI?
No. MinutesMaster doesn’t use recordings, transcripts or minutes to train AI models. Meetings are private to your account unless you share them with your team workspace.
