How MinutesMaster takes notes in Microsoft Teams
MinutesMaster sends a bot called MinutesMaster AI (you can rename it) into your Teams meeting through the meeting link. Teams treats it as a guest, so it waits in the lobby until someone in the meeting admits it — then it records the audio and leaves when the meeting ends. There is nothing to install in Teams and no account to connect.
When the meeting is over, processing starts automatically. You get a Teams meeting transcript with participant names matched to the voices, and minutes with a summary, the agenda, decisions and action items with owners. Edit anything, export to Word or PDF, or share the meeting with your team workspace.
MinutesMaster handles meetings in 38 languages, including Czech, Slovak, Polish and German, and meetings that switch between languages. Write the minutes in the spoken language or another one — Czech meeting, English minutes. One credit covers 30 minutes, and new accounts start with 5 free credits.
Katarzyna Nowak (12:05) — The supplier confirmed they can deliver, but only after the 20th. That pushes the warehouse move by a week.
Martin Dvořák (12:47) — Then let’s move it and keep the old site open one more week. I’ll tell the landlord today.
Warehouse move postponed by one week; the old site stays open until then.
Martin Dvořák → confirm the lease extension with the landlord today

From Teams link to minutes in four steps
No Teams app to install and no admin consent — just the meeting link.
- 1
Copy the meeting link
Take the Teams link from the invitation, your calendar or the meeting chat. Pasting the whole invitation is fine — MinutesMaster keeps just the meeting link and unwraps Outlook Safe Links.
- 2
Send the bot
Paste the link into MinutesMaster, optionally rename the bot and choose the minutes language, and send it. Audio-only recording is recommended.
- 3
Admit it from the lobby
Teams keeps guests in the lobby, so someone in the meeting has to admit MinutesMaster AI. MinutesMaster shows the bot’s live status and an “admit now” prompt; the bot waits up to 15 minutes.
- 4
Get the transcript and minutes
When the meeting ends the bot leaves and processing starts on its own. Review the transcript and minutes, then export them or share the meeting with your team.
What you get from every Teams meeting
A written record of the call that’s ready to send, search and reuse.
Joins by link
No Teams app, no tenant setup, no account connection. The bot joins through the meeting link like an external guest.
Participant names on the transcript
Names from the Teams meeting are matched to the voices, so the transcript shows who said what. Correct a name once and it updates everywhere.
Minutes with decisions and owners
A summary, the agenda, decisions and action items with owners, plus detailed narrative minutes for people who need the full picture.
Multilingual meetings
38 languages, mixed-language meetings included. Write the minutes in the meeting’s language or another one, and keep translations next to the original.
Word, PDF and subtitles
Export minutes as DOCX or PDF, the transcript as text or JSON, and SRT or VTT subtitles with timestamps.
Answers from past meetings
Ask MinutesMaster what was decided across your Teams meetings; every answer cites the moments it used, and each citation plays the recording from there.
Good to know about Microsoft Teams
How the bot fits into Teams meetings, and what to tell your colleagues.
Someone has to admit the bot
Teams keeps guests in the lobby. When the bot asks to join, admit MinutesMaster AI from the participant list. If nobody admits it within 15 minutes, it gives up and you can send it again.
No connection to your Microsoft account
MinutesMaster doesn’t need access to your Microsoft 365 account, calendar or files. The meeting link is all it uses.
Teams’ own transcription isn’t needed
Teams has its own recording, transcription and AI features, depending on your licence and admin settings. The bot records the audio itself, so they don’t need to be switched on.
Be open about recording
The bot appears in the participant list under its name. Tell everyone the meeting is being recorded and transcribed, as you would with any recording.
If guests can’t join
Some organisations don’t allow guests or anonymous participants in their Teams meetings. In that case the bot can’t get in — record the meeting in the browser or upload the Teams recording instead.
Other ways to capture Teams meetings
If the meeting was recorded in Teams, the recording is saved to OneDrive or SharePoint. Download the file and upload it to MinutesMaster — MP4 and other formats up to 2 GB are accepted — to get the same transcript and minutes, no bot needed. That also works for meetings that happened in the past.
For hybrid meetings or a meeting room where a bot can’t join, record in the browser or with the MinutesMaster app for iPhone and Android, and MinutesMaster will transcribe that recording instead.
Using an AI assistant? Connect Claude, ChatGPT or Microsoft Copilot Studio to MinutesMaster over MCP and, with your permission to spend credits, it can send the bot to a Teams link for you.
