What should meeting minutes include?
Good minutes answer four questions for someone who wasn’t there: who took part, what was discussed, what was decided and who does what by when. The date, the agenda and the next meeting frame those answers. A template keeps the format the same from one meeting to the next, so readers know where to look.
Different meetings need different sections on top of that. A board meeting needs attendance, quorum and vote counts; a stand-up needs one line per person; a sales call needs the customer’s pains and budget; a lecture needs concepts and examples. Each template below shows its sections, a filled-in example and a plain-text version you can copy or download as Word or PDF.
If the meeting was recorded, you can skip the typing. MinutesMaster transcribes the recording, separates the speakers by voice and fills in the template you choose. 5 free credits (2.5 hours of audio) to try it, no credit card.
In every set of minutes
Whichever template you pick, MinutesMaster also writes these fields:
- Overview — one to three sentences on what the meeting was about and what came out of it.
- Summary — the discussion condensed into a short read for people who weren’t there.
- Participants — every speaker, with their name and role when it was said in the meeting.
- Agenda — the topics actually discussed, in order.
- Decisions — only what was explicitly agreed or adopted, kept apart from proposals and opinions.
- Action items — tasks with an owner, and a due date when one was stated.
- Next meeting — date, time and agenda points, if they came up.
- Detailed minutes — a narrative record in paragraphs, with the times of the important moments.

How MinutesMaster fills a template from a recording
The template decides the structure; the recording decides the content. Nothing is invented to fill a gap.
- 1
Record or upload
Upload audio or video, record in the browser or the app, paste a YouTube or Google Drive link, or send the bot to Zoom, Teams or Google Meet.
- 2
Choose a template
Pick one of the 13 built-in templates, one of your own or your team’s — or keep your default. Length, tone, focus and sections can be adjusted for this meeting.
- 3
The sections fill themselves
The speaker-labeled transcript becomes the template’s sections plus the summary, decisions and action items. A section the meeting never touched stays empty instead of being padded.
- 4
Review, export, switch
Edit any field, export to Word or PDF, or regenerate the meeting with another template for free. Earlier versions stay available.
Make the templates your own
The built-in templates are a starting point. Shape one once and every meeting comes out the way your team writes minutes.
Your own templates
Duplicate a built-in template and change the length (short, standard, detailed), the tone (neutral, formal, concise, friendly), the focus and the sections.
Team templates
Save a template to a team and everyone in it can use it — one house style for every meeting.
Extra sections
Add sections such as “Risks” as a list or “Budget” as a table, or turn off the ones you don’t need. Overview, summary, decisions and action items are always included.
Minutes in 38 languages
Each template writes in the meeting’s language or one you choose, section titles included. Finished minutes can be translated into any of the 38 languages.
Word, PDF and more
Export finished minutes as DOCX or PDF, or as TXT and JSON. The transcript also exports as SRT and VTT subtitles.
Templates from your AI assistant
Over MCP, Claude or ChatGPT can list your templates, draft new ones and rewrite a meeting’s minutes with another template.
Frequently asked questions
- What is the format of meeting minutes?
- A heading with the meeting name, date, place and minute-taker; then the participants, the agenda, the discussion, the decisions and the action items with owners and due dates; and finally the next meeting. Formal minutes add attendance, quorum and vote counts.
- Is there a meeting minutes template in Word?
- Yes. Every template on these pages downloads as an editable Word (DOCX) file and as a PDF, and the plain-text version pastes into Word or Google Docs. Minutes written by MinutesMaster export to DOCX and PDF too.
- What are the four things meeting minutes should include?
- Who attended, what was discussed, what was decided, and which actions were agreed, each with an owner and ideally a deadline. Without the last two, minutes are just notes.
- Which template should I use?
- The team meeting template when nothing more specific fits; the 1:1, stand-up, kickoff or retrospective template for those meetings; the sales call or customer interview template for conversations with customers; and the board template for anything with motions and votes.
- Can AI fill in a meeting minutes template?
- Yes. MinutesMaster transcribes the recording and fills the template’s sections from what was said, leaving a section empty when the meeting didn’t cover it. You review and edit the draft before you share it.
- Can I create my own minutes template?
- Yes. Duplicate a built-in template or start a new one, then set the length, tone, focus, sections and extra instructions. Save it for yourself or for a team.
- Can I change the template after the minutes are written?
- Yes. Regenerate the meeting with another template — it’s free and uses no credits. Your speaker names are kept and the previous minutes stay available under Versions.
- Are the templates free?
- Copying or downloading a template is free and needs no account. Having MinutesMaster write the minutes from a recording uses credits: new accounts get 5 free credits (2.5 hours of audio), and packs start at €9 for 10 credits.
