ChatGPT meeting minutes: what works and what doesn’t
ChatGPT writes good minutes from text you give it; getting the meeting into ChatGPT is the hard part. Here is a prompt that works, what ChatGPT can do with audio, and when it makes sense to let a note taker record the meeting and hand the result to ChatGPT.

Can ChatGPT write meeting minutes?
Yes, from text. Paste a transcript or your own notes, tell ChatGPT the structure you want, and it drafts minutes with decisions and action items. The limits are on the input side:
- 1ChatGPT doesn’t join Zoom, Teams or Google Meet calls as a participant.
- 2On paid plans you can upload an audio file; OpenAI says audio uploads aren’t available on the Free plan.
- 3On a Mac, the ChatGPT desktop app can record a meeting you attend, on the plans OpenAI lists for that feature.
- 4Whatever you paste or record, check names, figures and decisions before you send the minutes.
MinutesMaster handles the input side — a meeting bot, uploads, phone and browser recordings, speakers separated by voice — and connects to ChatGPT over MCP, so you can still ask ChatGPT about the meeting.

How to write meeting minutes with ChatGPT
Works with any transcript: from Teams or Zoom, from a transcription tool, or your own notes.
- 1
Get a transcript or notes
Download the transcript from Teams or Zoom if transcription was on, export it from a transcription tool, or use your own notes. Speaker names in the text make a big difference to who-said-what in the minutes.
- 2
Remove what shouldn’t leave the room
Before you paste anything, check your organisation’s rules for sharing meeting content with AI services, and cut confidential parts you don’t need for the minutes.
- 3
Paste it with a clear prompt
Say what you want: the structure, the language and the tone, and that decisions and action items need owners and dates. The prompt below is a good starting point.
- 4
Ask follow-up questions
Ask for a shorter version, a version for people who weren’t there or a follow-up email. Asking “Which decisions are you unsure about?” helps you find weak spots.
- 5
Check it against the transcript
Compare decisions, numbers and names with the source. AI can attribute a statement to the wrong person or turn a suggestion into a decision.
- 6
Send and file the minutes
Copy the final version into your minutes document or an email, and store it where your team keeps its minutes.
Ways to get meeting minutes with ChatGPT
As OpenAI’s help centre and our own product describe them in October 2026.
| Method | What you do | What you get | Keep in mind |
|---|---|---|---|
| Paste a transcript | Copy the text into a chat with a minutes prompt | A draft in the structure you asked for | Only as good as the transcript; speaker names must already be in the text |
| Upload an audio file | Attach a recording (MP3, M4A, WAV and other formats) and ask for minutes | A transcription plus a summary or minutes | OpenAI: paid plans only, files up to 512 MB; very long recordings may time out |
| Record on a Mac | Use the ChatGPT desktop app’s recording feature while you attend the meeting | Notes or a summary with action items | OpenAI: macOS desktop app only, on the plans listed for the feature; no bot joins the call |
| MinutesMaster + ChatGPT | Send the MinutesMaster bot or upload the recording, then connect MinutesMaster to ChatGPT | A speaker-labelled transcript and minutes in MinutesMaster, which ChatGPT can search and quote | OpenAI: custom MCP servers with full access on Business, Enterprise and Edu, read-only on Pro |
A ChatGPT prompt for meeting minutes
Paste this into ChatGPT and add the transcript below it. Change the structure to match the minutes your organisation uses.
You are an experienced minute taker. Write meeting minutes from the transcript below. Structure: 1. Meeting title, date and attendees (from the transcript; write “not stated” if missing) 2. Summary in 3–5 sentences 3. One short section per agenda item: what was discussed, in 1–2 sentences 4. Decisions, each written exactly as agreed 5. Action items as a table: task, owner, due date (“not set” if none was given) 6. Open questions and the next meeting, if mentioned Rules: past tense, neutral tone, no opinions. Don’t invent names, dates or numbers. If something in the transcript is unclear, say so instead of guessing. Transcript:
What ChatGPT can do with recordings
On paid plans, ChatGPT accepts audio uploads — OpenAI lists formats such as MP3, M4A, WAV and FLAC, up to 512 MB per file — and can transcribe and summarise them. OpenAI notes that processing is best-effort and very long recordings may time out.
On a Mac, OpenAI’s help centre describes two recording features in the ChatGPT desktop app: ChatGPT Record, listed for Plus, Pro, Business, Enterprise and Edu with sessions of up to 4 hours, and a Meetings plugin in beta for Pro and Business plans, which uses your Mac’s microphone and system audio without a bot joining the call. OpenAI says the Meetings plugin deletes the audio once the notes are ready, so it can’t be replayed.
None of them joins a call on your behalf: someone has to attend the meeting with the Mac, or come back later with a file.
When a dedicated note taker is the better fit
Pasting transcripts works for an occasional meeting. When minutes are a weekly job, the copy and paste becomes the work: finding the transcript, fixing speaker names, explaining your format again, and keeping the results where the team can find them. A note taker is worth it when:
- You need minutes from Zoom, Teams or Google Meet calls, including other organisations’ meetings.
- You record in-person meetings on a phone.
- Speakers should be separated by voice and named once for the whole meeting.
- Every meeting should get the same structure — a template — without re-explaining it.
- The minutes have to be in a different language from the one spoken, or in several.
- You want to ask questions across months of meetings and get the exact moment cited.
MinutesMaster records the meeting — and ChatGPT can still use it
MinutesMaster gets the meeting in: a bot for Zoom, Microsoft Teams and Google Meet, uploads of up to 2 GB, YouTube and Google Drive links, and recording in the browser or the iPhone and Android apps. It separates the speakers by voice and writes the minutes with one of 13 built-in templates or your own, in any of 38 languages.
Then add MinutesMaster to ChatGPT as a custom MCP app and mention @MinutesMaster in a chat: ChatGPT can search your meetings, read the minutes and list decisions and action items, with the speaker and time they came from. New MinutesMaster accounts get 5 free credits, enough for 2.5 hours of meetings.

Frequently asked questions
- Can ChatGPT generate meeting minutes from a transcript?
- Yes. Paste the transcript with a prompt that describes the structure — summary, decisions, action items with owners and dates — and ChatGPT drafts the minutes. Check names, numbers and decisions against the transcript before you send them.
- Can ChatGPT transcribe an audio recording of a meeting?
- On paid plans, yes: OpenAI’s help centre lists audio uploads of up to 512 MB in formats such as MP3, M4A and WAV, and says they aren’t available on the Free plan. Very long recordings may time out.
- Can ChatGPT join a Zoom or Teams meeting and take notes?
- Not as a participant. OpenAI’s Mac recording features record on your computer while you attend the call yourself; no bot joins. MinutesMaster sends a bot to Zoom, Teams or Google Meet, and ChatGPT can read the result through the MinutesMaster app.
- What is a good ChatGPT prompt for meeting minutes?
- Name the structure you want, ask for decisions exactly as agreed and for action items with an owner and a due date, set the tone (past tense, neutral) and tell it not to invent names, dates or numbers. The prompt on this page does all of that.
- Is it safe to paste meeting transcripts into ChatGPT?
- That depends on your organisation’s rules and on the data settings of your ChatGPT plan, so check both first. Remove confidential parts you don’t need for the minutes.
- Can ChatGPT read my MinutesMaster meetings?
- Yes. Add MinutesMaster to ChatGPT on the web as a custom MCP app, sign in and choose the permissions, then mention @MinutesMaster in a chat. Reading and searching meetings costs no credits.
- Does MinutesMaster accept a transcript I already have?
- No. MinutesMaster works from the recording — audio or video — because it separates the speakers by their voices. Upload the recording instead, or paste the transcript into ChatGPT with the prompt on this page.
- Is MinutesMaster free to try?
- Yes. New accounts get 5 free credits — 2.5 hours of meetings — without a credit card. One credit covers 30 minutes; after that, credit packs start at €9 for 10 credits, and Pro is €19 a month for 40 credits.
