Zoom meeting notes that write themselves
Paste your Zoom meeting link and the MinutesMaster bot joins as a participant, records the audio and leaves when the meeting ends. You get a transcript with participant names and minutes with decisions and action items — in the meeting’s language or any of 38 others.

How MinutesMaster takes notes in Zoom
MinutesMaster sends a bot called MinutesMaster AI (you can rename it) into your Zoom meeting through the meeting link. It joins like any other participant, records the audio, and leaves when the meeting ends — then processing starts on its own. Nobody has to install anything, and nobody has to take notes.
Zoom requires bots that join meetings to act on behalf of a signed-in Zoom user. MinutesMaster is a registered Zoom Marketplace app and uses the official On-Behalf-Of token flow that Zoom has required since 2 March 2026. In practice that means two things: you connect your Zoom account once, and you need to be in the meeting yourself while the bot records.
After the call you get a transcript with participant names matched to the voices, minutes with a summary, decisions and action items with owners, and exports to Word, PDF, text or subtitles. One credit covers 30 minutes, so a one-hour Zoom call uses 2 credits — and new accounts start with 5 free.
Sofia Marques (07:41) — Can we launch the product pages first and leave the blog for later? That’s where most of our traffic lands.
Tom Reed (08:16) — Yes, that works for us. I’ll split the plan into two phases and send you the new timeline.
Phase one covers the product pages; the blog moves to phase two.
Tom Reed → send the revised two-phase timeline by Thursday
The same minutes, translated into German and Czech, export as Word or PDF.
Your first Zoom meeting with MinutesMaster
A one-time connection, then a pasted link for every meeting.
- 1
Connect Zoom once
In MinutesMaster, open Profile → Integrations and click Connect Zoom. Approve the app on Zoom’s page and you’re done — this only happens once.
- 2
Join and paste the link
Start or join the Zoom meeting, then paste its link into MinutesMaster and send the bot. Pasting the whole invitation is fine — MinutesMaster keeps just the meeting link.
- 3
Admit the bot if asked
If the meeting has a waiting room, admit MinutesMaster AI. MinutesMaster shows the bot’s live status and tells you when it’s waiting. Stay in the meeting while it records.
- 4
Read the minutes
When the meeting ends the bot leaves and processing starts automatically. Review the transcript and minutes, then export them or share the meeting with your team.
Everything from your Zoom call, written down
The transcript, the minutes and the follow-up — without anyone typing during the meeting.
A bot that joins with your permission
The bot joins under your authorization through Zoom’s official On-Behalf-Of flow, as a registered Marketplace app — no workarounds.
Participant names on the transcript
Names from the Zoom meeting are matched to the voices, so the transcript shows who said what. Fix a name once and it updates everywhere.
Decisions and action items
Minutes with a summary, the agenda, decisions and action items with owners, plus detailed narrative minutes for the record.
Meetings in 38 languages
International calls, mixed-language meetings included. Write the minutes in the spoken language or another one, and translate them later.
Exports for every use
Word (DOCX) and PDF minutes, plain text and JSON, and SRT or VTT subtitles from the transcript.
Ask about past meetings
Ask MinutesMaster answers questions across all your Zoom calls and cites the moments it used — click one and the recording plays from there.
Good to know about Zoom
What Zoom requires, and what MinutesMaster does and doesn’t ask for.
You need to be in the meeting
Zoom requires the user who authorized the bot to be present while it records. Join the meeting with the Zoom account you connected.
Waiting rooms
If the meeting uses a waiting room, the host admits MinutesMaster AI like any other participant. The app tells you when the bot is waiting.
Three Zoom permissions, nothing more
MinutesMaster requests only the scopes needed for bot recording:
user:read:token, user:read:useranduser:read:zak. No mailbox, calendar, billing or admin access.Be open about recording
The bot is visible in the participant list under its name. Let everyone know the meeting is being recorded and transcribed.
Disconnect at any time
Remove the connection in MinutesMaster under Profile → Integrations → Disconnect, or in the Zoom App Marketplace under Manage → Added Apps.
Other ways to capture Zoom meetings
Already have a recording? Zoom can save meetings locally or to the cloud. Download the recording file and upload it to MinutesMaster — MP4, M4A and other formats up to 2 GB are accepted, no bot and no Zoom connection needed. It works for meetings that happened weeks ago, too.
For meetings where a bot isn’t welcome, record in the browser or with the MinutesMaster app for iPhone and Android, then let MinutesMaster transcribe and write the minutes from that recording.
Using an AI assistant? Connect it to MinutesMaster over MCP and, with your permission to spend credits, Claude or ChatGPT can send the bot to a Zoom link for you.
Frequently asked questions
- How do I take notes in a Zoom meeting automatically?
- Connect your Zoom account to MinutesMaster once, join your meeting, then paste the meeting link into MinutesMaster and send the bot. It records the audio and, when the meeting ends, MinutesMaster writes a transcript with participant names and minutes with decisions and action items.
- Do I need to connect my Zoom account?
- Yes, for the bot. Since 2 March 2026 Zoom requires bots to join on behalf of a signed-in user, so you connect your Zoom account once under Profile → Integrations. Uploading a recording you already have needs no Zoom connection.
- Do I have to stay in the meeting while the bot records?
- Yes. Zoom requires the user who authorized the bot to be present in the meeting. Join with the Zoom account you connected to MinutesMaster.
- Can I transcribe a Zoom meeting without turning on Zoom’s recording?
- Yes. The MinutesMaster bot records the audio itself, so Zoom’s own cloud recording and transcription don’t need to be switched on. It is still a recording, so let participants know.
- What permissions does MinutesMaster ask for in Zoom?
- Only the three scopes needed for bot recording: user:read:token, user:read:user and user:read:zak. It does not request access to your mailbox, calendar, billing or admin settings.
- Does it work for Zoom meetings that aren’t in English?
- Yes. MinutesMaster transcribes 38 languages, including meetings that switch between languages, and can write or translate the minutes into any of them.
- How much does a Zoom meeting cost to transcribe?
- One credit covers 30 minutes of audio, so a one-hour meeting uses 2 credits. New accounts get 5 free credits without a credit card; after that, credit packs start at 10 credits for €9.
