Why long recordings are hard — and what changes here

Most meeting note takers are built for a one-hour call. Otter.ai caps a conversation at 30 minutes on its free plan, 90 minutes on Pro and 4 hours on Business; Notta at 3 minutes on its free plan and 5 hours on paid plans (both as listed on their pricing pages on 1 November 2026). A council session, a board meeting with a long agenda or a day of workshops doesn’t fit, so people cut the file into pieces and lose the thread between them.

MinutesMaster takes one file of up to 8 hours and 2 GB on every plan. The whole recording becomes one speaker-labelled transcript with timestamps, and the minutes cover the full session: agenda items, decisions, votes and action items with owners. Speakers are separated by voice across all those hours, so you name each one once.

You pay for the audio, not for seats: 1 credit covers 30 minutes, so a 6-hour session uses 12 credits — a one-time pack of 30 credits (15 hours) costs €24, and Pro includes 20 hours a month for €19. The 5 free credits cover 2.5 hours — enough to try it on a shorter session first. Translating the transcript or the minutes into any of 38 languages uses no credits.

City council, regular session no. 14

Mayor Petra Lindqvist (3:12:45) — We vote on item 9, the school roof repair: 1.2 million from the reserve fund. Who is in favour?

Councillor Tomás Ruiz (3:14:02) — Before we vote — the contractor’s offer is valid only until the end of the month, so the tender has to start next week.

How it works

From a long recording to minutes

Council and board sessions, conference days, hearings, workshops, lectures and long interviews.

  1. 1

    Upload the whole file

One audio or video file of up to 8 hours and 2 GB — MP3, M4A, WAV, MP4, MOV and more — or a YouTube or Google Drive link. No need to split it.

  2. 2

Pick a format and the language

Choose a template such as Board / committee meeting or Lecture / training, and the language — or leave it on auto-detect; sessions that switch languages work too.

  3. 3

    Get the transcript and minutes

A 3–5-hour recording is usually ready within 15 minutes: the transcript with speakers and timestamps, and minutes for the whole session.

  4. 4

    Review, search, export

Name the speakers once, check any decision against the moment it was said, then export to Word or PDF — or SRT and VTT subtitles for the video.

Features

Built for recordings that run for hours

Everything stays in one meeting, from the first minute to the last.

  • Up to 8 hours in one file

No 90-minute or 4-hour cap and no splitting: the whole session is transcribed and summarised as one meeting.

  • Speakers apart for the whole session

Voices are separated across the entire recording; rename a speaker once and the name is used everywhere.

  • Minutes for the full agenda

Decisions, votes, action items with owners and the next meeting, item by item — not just a summary of the first hour.

  • Find any moment

Search the transcript or ask MinutesMaster where something was decided; the answer links to the exact time in the recording.

  • Word, PDF and subtitles

Export the minutes and the full transcript to DOCX or PDF, or SRT and VTT subtitles for the session video.

  • 38 languages

Long sessions in Czech, German, Polish, Spanish and 34 other languages, including sessions that switch languages; translate into any of them.

Use cases

Long recordings people bring

Sessions where a one-hour note taker gives up halfway.

  • Council and board sessions

Municipal councils, boards, annual general meetings and owners’ associations: three to six hours with a formal agenda, votes and resolutions.

  • Hearings and proceedings

Recorded hearings, arbitration sessions and committee inquiries, transcribed as a working copy for your notes.

  • Conferences and webinars

A full conference day, a webinar series or a recorded stream — each talk and its Q&A easy to find.

  • All-day workshops and trainings

Strategy days, design sprints and internal trainings that run from morning to evening.

  • Block lectures and seminars

Three-hour lectures and doctoral seminars, with study notes and the questions students asked.

  • Long interviews and oral history

Research interviews and oral-history recordings that run for hours, with speaker names and timestamps for citing.

FAQ

Frequently asked questions

How long can an audio or video file be?
Up to 8 hours and 2 GB per file, on every plan. Longer events can be uploaded as two files; each becomes its own meeting with its own transcript and minutes.
How much does it cost to transcribe a 5-hour recording?
1 credit covers 30 minutes, so 5 hours use 10 credits. New accounts get 5 free credits (2.5 hours) once; after that a one-time pack of 10 credits costs €9 and 30 credits €24, or Pro gives you 20 hours a month for €19.
How long does processing take?
Most meetings are ready a minute or two after the upload finishes. Long recordings take longer: a 3–5-hour file is usually ready within 15 minutes. You can close the browser while it works; the meeting appears in your list when it is done.
Do I have to split a long recording?
No. Upload the whole file and it stays one meeting — one transcript, one set of minutes, speakers named once. Only events longer than 8 hours need a second file.
Can it tell speakers apart over several hours?
Yes. Speakers are separated by voice across the whole recording. Rename each speaker once and the name appears in the transcript, the minutes and every export.
Which formats can I upload?
MP3, M4A, WAV, FLAC, MP4, MOV and other common audio and video formats, up to 2 GB. If a long video is bigger than that, upload just its audio track — 8 hours of MP3 is a few hundred megabytes.
Can I record a long session on my phone?
Yes. The MinutesMaster app for iPhone and Android keeps recording with the screen locked. For sessions of several hours, keep the phone charging and close to the speakers, or use the room’s own recording if there is one.
Is my recording used to train AI?
No. MinutesMaster doesn’t use recordings, transcripts or minutes to train AI models. Meetings are private to your account unless you share them with a team, and you can delete any meeting at any time.
