Project kickoff meeting minutes template

Kickoff minutes that pin down goals, scope, roles and dates

A format for the first meeting of a project or a new phase: what success looks like, what is in and out of scope, who is responsible for what, the milestones that were named and the risks raised on day one.

When to use the project kickoff template

Use it for the meeting that starts a project, a client engagement or a new phase: an agency and a client agreeing a redesign, an internal team starting a migration, a cross-department initiative. The kickoff minutes are what people return to when scope or responsibilities are questioned months later, so they need to be specific.

The template adds five sections. Goals and success criteria records the goals as they were stated, with numbers where there were any. In scope / out of scope lists both, with out-of-scope items marked as such. Roles and responsibilities and Milestones are tables — person and role, milestone and date. Risks and dependencies collects what could slow the project down.

MinutesMaster takes dates only as they were said: a milestone without an agreed date gets a dash instead of an invented one. Decisions, such as who approves designs, sit apart from the discussion, and every first task gets an owner.

Structure

The structure of project kickoff minutes

Five sections for the start of a project, on top of the fields every set of minutes has.

Sections this template adds

  1. 1

    Goals and success criteria

    List

The project’s goals and how success will be measured, as stated in the meeting.

  2. 2

In scope / out of scope

    List

What the project includes and what it explicitly doesn’t; out-of-scope items are marked as such.

  3. 3

    Roles and responsibilities

    Table

Who does what: one row per person with their role or responsibility in the project.

Columns: Person · Role / responsibility

  4. 4

    Milestones

    Table

Milestones with their dates as stated; a dash when no date was agreed.

    Columns: Milestone · Date

  5. 5

    Risks and dependencies

    List

Risks and dependencies raised in the meeting — on other teams, suppliers, systems or availability.

In every set of minutes

Whichever template you pick, MinutesMaster also writes these fields:

  • Overview — one to three sentences on what the meeting was about and what came out of it.
  • Summary — the discussion condensed into a short read for people who weren’t there.
  • Participants — every speaker, with their name and role when it was said in the meeting.
  • Agenda — the topics actually discussed, in order.
  • Decisions — only what was explicitly agreed or adopted, kept apart from proposals and opinions.
  • Action items — tasks with an owner, and a due date when one was stated.
  • Next meeting — date, time and agenda points, if they came up.
  • Detailed minutes — a narrative record in paragraphs, with the times of the important moments.

The kickoff of an invented customer portal redesign between a freight company and its web agency, written up with this template.

Kickoff — customer portal redesign, Brightwater Freight

Client and agency agreed the goals, scope and team for the customer portal redesign, set three milestones and named the ERP interface as the main risk.

Summary

Hannah explained why the portal is being redesigned: shipment tracking questions make up the largest share of support calls, and customers cannot download invoices themselves. The goal is to cut tracking-related calls by 30% within six months of launch. The agency presented its plan; the team agreed the scope for the first release and moved the mobile app and the ERP integration to a later phase. Olivia warned that the ERP documentation is incomplete and that IT has limited time in December. Hannah will be the single approver for designs.

Participants

  • Hannah Cole — head of customer service, project sponsor
  • Marco Bianchi — project manager, agency
  • Yuki Tanaka — UX designer, agency
  • Ravi Kumar — lead developer, agency
  • Olivia Grant — IT, Brightwater Freight

Agenda

  1. Why the portal is being redesigned
  2. Goals and success criteria
  3. Scope of the first release
  4. Team and responsibilities
  5. Timeline and risks

Decisions

  • Hannah Cole is the single approver for designs.
  • Weekly status call every Tuesday at 10:00.
  • The mobile app and the ERP integration move to phase 2.

Goals and success criteria

  • Cut support calls about shipment tracking by 30% within six months of launch.
  • Customers download invoices themselves, without contacting support.
  • Launch before the next peak season.

In scope / out of scope

  • In scope: shipment tracking, invoice download, account settings.
  • In scope: single sign-on with the existing customer accounts.
  • Out of scope: the mobile app (phase 2).
  • Out of scope: integration with the new ERP system (phase 2).

Risks and dependencies

  • The ERP API documentation is incomplete; the tracking data depends on it.
  • Client IT has limited availability in December.
  • Single sign-on depends on the identity provider’s test environment.

Next meeting

Tuesday 1 December, 10:00 — first weekly status call.

Illustrative example: an invented meeting. Names, organisations and figures are fictional; the structure is exactly what this template produces.

How it works

Generate these minutes from your recording

Skip the blank page: MinutesMaster writes “Project kickoff” minutes from the recording itself.

  1. 1

    Bring the recording

Upload an audio or video file (up to 2 GB), record in the browser or the mobile app, paste a YouTube or Google Drive link, or send the bot to a Zoom, Teams or Google Meet call.

  2. 2

    Choose “Project kickoff”

Pick the template when you upload, record or send the bot, or make it your default. Length, tone and sections can be adjusted for a single meeting.

  3. 3

    Review the draft

The minutes are usually ready a minute or two after the upload finishes. Give each speaker their name once, check the decisions and owners, edit any field.

  4. 4

    Export or switch

Download Word (DOCX) or PDF, or regenerate the meeting with another template for free — the earlier version stays under Versions.

Tips

Tips for project kickoff minutes

The kickoff sets expectations. The minutes are the record of what everyone agreed to expect.

  • Make success measurable

“Better portal” can’t be checked; “30% fewer tracking calls within six months” can. If the meeting didn’t name a number, write the goal down anyway and put the measure on the next agenda.

  • Write down what is out of scope

The out-of-scope list prevents more arguments than the in-scope list. Name the things that were explicitly postponed and where they went.

  • One name per responsibility

“The client” is not a role. Give every responsibility — approvals, system access, budget — a person, so questions have an address.

  • Leave unknown dates blank

A milestone without an agreed date should say so. An invented date in the kickoff minutes turns into a missed deadline later.

FAQ

Frequently asked questions

What should be included in project kickoff meeting minutes?
The project’s goals and success criteria, what is in and out of scope, the roles and responsibilities, the milestones with dates, the risks and dependencies, plus the decisions and first action items with owners.
What is the agenda of a project kickoff meeting?
Typically: introductions, why the project exists, goals and success criteria, scope, team and responsibilities, timeline and milestones, risks, how the team will communicate, and next steps.
Who should attend a project kickoff meeting?
The sponsor or decision-maker, the project manager, the core team and anyone who controls something the project depends on, such as IT access or budget. On client projects, both sides.
How do you document a kickoff meeting?
Write down goals, scope, roles, milestones and risks as they were agreed, and send the minutes to everyone the same week. With a recording, MinutesMaster writes the draft in this structure for you to check.
Is there a project kickoff minutes template in Word?
Yes. Download it above as an editable DOCX or as a PDF, or copy the plain-text version into Word, Google Docs or your project tool.
Can I add a budget section to the template?
Yes. In MinutesMaster you can add your own sections — for example “Budget” as a table — for one meeting, or save the result as your own or your team’s template.
Can I use this template for a phase kickoff or a client onboarding?
Yes. It works for any meeting that starts a body of work. For a sales call before the project is signed, the sales call template fits better.
