When to use the teachers’ council template

Use it for meetings of the pedagogical council (pedagogická rada) at a Czech primary, secondary or nursery school — grading meetings at the end of a quarter or term as well as regular staff meetings. The head teacher sets up the council as an advisory body made up of all the school’s teaching staff (§ 164 (2) of the Czech Education Act), and records of its meetings are part of the school’s documentation (§ 28 (1) (h)).

The template has three sections: Results and attendance as a table with one row per class, Educational measures as a table of pupil or class, measure and reason, and Organisational matters — parents’ evenings, report cards, tasks for subject committees.

Pupils are minors, so MinutesMaster writes names exactly as they were said and never adds details about pupils. The minutes can be in Czech or in English. This is not legal advice: your school’s internal rules and school code decide the form of the record.

Structure

The structure of teachers’ council minutes

Three sections on top of the fields every set of minutes has.

Sections this template adds

  1. 1

    Results and attendance

    Table

One row per class that was reported on: a summary of results, absences and a note. Anything not stated gets a dash.

Columns: Class · Results · Absence · Notes

  2. 2

    Educational measures

    Table

Commendations, warnings, reprimands and lowered conduct grades — the pupil or class, the measure and the reason as stated.

Columns: Pupil / class · Measure · Reason

  3. 3

    Organisational matters

    List

Dates, events, tasks and other school organisation.

In every set of minutes

Whichever template you pick, MinutesMaster also writes these fields:

  • Overview — one to three sentences on what the meeting was about and what came out of it.
  • Summary — the discussion condensed into a short read for people who weren’t there.
  • Participants — every speaker, with their name and role when it was said in the meeting.
  • Agenda — the topics actually discussed, in order.
  • Decisions — only what was explicitly agreed or adopted, kept apart from proposals and opinions.
  • Action items — tasks with an owner, and a due date when one was stated.
  • Next meeting — date, time and agenda points, if they came up.
  • Detailed minutes — a narrative record in paragraphs, with the times of the important moments.

Minutes of the ZŠ Vzorová grading council, first term of the 2026/2027 school year

The council reviewed results and attendance for classes 6.A to 9.A for the first term, proposals for a head teacher’s commendation and reprimand, and the date of the parents’ evening.

Class teachers presented the results of four lower-secondary classes: 29 pupils passed with distinction, one pupil in 7.A failed mathematics and one pupil in 8.A has not been graded in physics. Most of the discussion concerned 12 unexcused hours of a pupil in 7.A; after the discussion the head teacher will issue a head teacher’s reprimand. A pupil in 9.A will receive the head teacher’s commendation for first place in the district round of the mathematics olympiad. The parents’ evening is on Thursday 4 February 2027.

Participants

  • Mgr. Alena Svobodová — head teacher, chairs the meeting
  • Mgr. Karel Doležal — deputy head, class teacher of 8.A
  • Mgr. Ivana Říhová — class teacher of 7.A
  • Mgr. Lenka Fialová — class teacher of 9.A, chair of the science committee

Tips

Tips for teachers’ council minutes

The minutes are part of the school’s documentation; management, inspectors and parents may come back to them.

  • Keep pupil data to a minimum

Pupils are minors. The minutes need the name, the measure and the reason, not details about family or health. MinutesMaster adds nothing about pupils; it records only what was said.

  • Every measure with its reason

For each commendation and disciplinary measure, record the pupil, the type of measure and the reason. At Czech primary schools, a head teacher’s commendation and any disciplinary measure are recorded in the school’s documentation (§ 17 of Decree No. 48/2005 Coll.).

  • Results by class in one table

The Results and attendance table keeps each class on one row: distinctions, passes, fails, absences and a note. Classes can be compared at a glance.

  • The council advises, the head decides

The pedagogical council is the head teacher’s advisory body (§ 164 (2) of the Education Act). Phrase conclusions as “the head teacher will award / issue” or “the council recommends”, so it is clear who decided.

FAQ

Frequently asked questions

What should teachers’ council minutes include?
The date, place and attendees, the agenda, the points discussed — results and attendance by class, educational measures and organisational matters — and the conclusions and tasks with owners and deadlines. The exact form is usually set by the school’s internal rules.
Do Czech schools have to keep minutes of teachers’ councils?
Yes. The Education Act lists “records of pedagogical council meetings” among the documentation schools keep (§ 28 (1) (h) of Act No. 561/2004 Coll.).
Who sits on the pedagogical council?
All teaching staff of the school. The head teacher sets it up as an advisory body, discusses key educational documents and measures with it and takes its views into account (§ 164 (2) of the Education Act).
How should educational measures be recorded?
In a table: pupil or class, measure (commendation, warning, reprimand, head teacher’s reprimand) and reason. At primary schools, a head teacher’s commendation and disciplinary measures are recorded in the school’s documentation and communicated to the pupil and parents without delay (§ 17 of Decree No. 48/2005 Coll.).
Can AI write the minutes of a teachers’ council?
It can write the draft. Record the meeting in the browser or the mobile app, and MinutesMaster fills in results by class, measures and organisational points. Whoever keeps the minutes reviews the draft — pupil details especially carefully.
What about pupils’ personal data?
MinutesMaster never uses recordings, transcripts or minutes to train AI; meetings are private to your account and you can delete them at any time. It is a Czech company with data hosted in Europe. Whether to record the meeting and how long to keep the recording is the school’s decision as the data controller.
Does the template suit nursery and secondary schools?
Yes, it is designed for primary, secondary and nursery schools. At a nursery school you can switch off the results section, or adjust the template and save it as your own.
