Stand-up meeting notes template

Stand-up notes in one table: done, next, blockers

A short format for daily stand-ups, weekly syncs and status meetings: one row per person, the blockers and risks underneath, and the few decisions and tasks that came out of it.

When to use the stand-up template

Use it for short recurring status meetings: the daily stand-up of a development team, a weekly team sync, a status call on a running project. These meetings are about who is doing what and what is stuck, so the notes should be readable in under a minute.

The template has two sections. Updates by person is a table with one row for each person who gave an update: what is done or in progress, what comes next and what blocks them. A cell nobody filled is a dash, not a guess. Blockers and risks pulls out everything that blocks delivery or puts a date at risk, so the scrum master or team lead can act on it right after the call.

MinutesMaster writes this template at short length by default — terse phrases, no padding. The detailed discussion that sometimes follows a stand-up still ends up in the summary and the decisions, and the full transcript stays attached.

Structure

The structure of stand-up meeting notes

A status table and a risk list on top of the fields every set of minutes has.

Sections this template adds

  1. 1

    Updates by person

    Table

One row per person who gave an update: done or in progress, next steps and blockers. An empty cell is marked with a dash.

Columns: Person · Done / in progress · Next · Blockers

  2. 2

    Blockers and risks

    List

Anything blocking delivery or putting a date at risk, collected from all the updates.

In every set of minutes

Whichever template you pick, MinutesMaster also writes these fields:

  • Overview — one to three sentences on what the meeting was about and what came out of it.
  • Summary — the discussion condensed into a short read for people who weren’t there.
  • Participants — every speaker, with their name and role when it was said in the meeting.
  • Agenda — the topics actually discussed, in order.
  • Decisions — only what was explicitly agreed or adopted, kept apart from proposals and opinions.
  • Action items — tasks with an owner, and a due date when one was stated.
  • Next meeting — date, time and agenda points, if they came up.
  • Detailed minutes — a narrative record in paragraphs, with the times of the important moments.

Daily stand-up — mobile app team, release 4.2

Release 4.2 stays planned for Thursday if the load test passes by Wednesday noon; the broken load test environment is the main risk.

Summary

Four updates. Offline drafts are finished and waiting for review, the notification settings screen is in progress, rate limiting for the sync API is on staging and the regression tests are 70% done. The load test environment has been down since yesterday, which blocks the last check before Thursday’s release. The team agreed to keep the release date if the load test passes by Wednesday noon.

Participants

  • Nina Patel — iOS developer
  • Leo Grant — Android developer
  • Ama Mensah — backend developer
  • Felix Romero — QA, runs the stand-up

Blockers and risks

  • The load test environment is down; without the load test, Thursday’s release is at risk.
  • Offline drafts can’t be merged until the review is done.

How it works

Generate these minutes from your recording

Skip the blank page: MinutesMaster writes “Stand-up / team sync” minutes from the recording itself.

  1. 1

    Bring the recording

Upload an audio or video file (up to 2 GB), record in the browser or the mobile app, paste a YouTube or Google Drive link, or send the bot to a Zoom, Teams or Google Meet call.

  2. 2

    Choose “Stand-up / team sync”

Pick the template when you upload, record or send the bot, or make it your default. Length, tone and sections can be adjusted for a single meeting.

  3. 3

    Review the draft

The minutes are usually ready a minute or two after the upload finishes. Give each speaker their name once, check the decisions and owners, edit any field.

  4. 4

    Export or switch

Download Word (DOCX) or PDF, or regenerate the meeting with another template for free — the earlier version stays under Versions.

Tips

Tips for useful stand-up notes

Most stand-ups don’t need minutes at all. When they do, keep them as short as the meeting.

  • Only record what someone else needs

Write down blockers, risks and hand-overs. Routine progress that nobody acts on can stay a short phrase in the table.

  • Name the blocker and who clears it

“Waiting for review” helps nobody until it says whose review. Turn each blocker into an action item with an owner.

  • Take long discussions offline

When two people start solving a problem, note the topic and who will meet afterwards, then move on. The table stays a status overview.

  • Keep the notes where the team looks

Post the table in the team channel or the project page right after the call. Notes nobody opens are not worth writing.

FAQ

Frequently asked questions

What are the 3 questions asked in a daily stand-up?
What did I finish since the last stand-up, what will I work on next, and is anything blocking me? This template’s table has one column for each, plus the person’s name.
Do you need minutes for a daily stand-up?
Usually only the blockers and anything that affects a date. Teams that work across time zones or report to stakeholders often keep the full table, so absent people can catch up.
How long should a stand-up meeting be?
The Scrum Guide timeboxes the Daily Scrum to 15 minutes, and many teams keep any stand-up to that. Longer discussions are better moved to a follow-up with only the people involved.
What should stand-up meeting notes include?
The date, who gave an update, each person’s done, next and blockers, and a short list of risks to delivery. Decisions and action items are worth noting when the stand-up produced any.
Can I use this template for a weekly sync?
Yes. It fits any recurring status meeting where each person reports in turn. For a weekly meeting with longer discussions, the team meeting template may suit better.
Can MinutesMaster take notes in our stand-up on Zoom, Teams or Google Meet?
Yes. Send the bot to the call with the meeting link and choose this template; the table is filled from what each person said. A 15-minute stand-up uses 1 credit, the minimum per meeting.
Is the stand-up notes template available in Word?
Yes. Download it above as an editable DOCX or as a PDF, or copy the plain-text version into a team page or chat.
