Japanese meetings, minutes the whole team can read

Send a bot to a Zoom, Microsoft Teams or Google Meet call, or upload a recording. MinutesMaster writes a Japanese transcript with speaker names and 議事録-style minutes — decisions, tasks with owners and the next meeting — and translates them into English for colleagues who don’t read Japanese.

From a Japanese meeting to 議事録 and an English version

Writing the 議事録 (gijiroku) after a meeting usually falls to whoever is most junior in the room. MinutesMaster takes the recording, separates the speakers by voice and writes structured minutes in Japanese: attendees, agenda, a summary, decisions, tasks with owners and the next meeting, with detailed narrative minutes alongside. You check a draft instead of typing it.

Japanese is written without spaces and mixes kanji, hiragana and katakana, and business meetings add English product names and katakana loanwords on top. You don’t have to set a language before processing: Japanese is detected automatically, mixed-language meetings are supported, and the Japanese script is kept in the app and in the Word, TXT, JSON and subtitle exports.

For teams split between Japan and other offices, translate the minutes or the full transcript into English — or any of the 38 languages — and keep the Japanese original next to each version. Recordings are never used to train AI models.

How it works

How Japanese transcription works

From a call or a file to minutes you can send, in four steps.

  1. 1

    Capture the meeting

Paste the Zoom, Teams or Google Meet link to send the bot, upload audio or video up to 2 GB, record in the browser or the iPhone and Android app, or paste a YouTube or Google Drive link.

  2. 2

Let the bot in if asked

When the organiser requires it, admit “MinutesMaster AI” from the lobby in Teams or Google Meet. For Zoom, connect your Zoom account once and stay in the meeting while it records.

  3. 3

    Check names and decisions

Rename each speaker once — family name first, or however your team writes names — and edit the decisions and tasks before anyone else sees them.

  4. 4

    Export or translate

Download the minutes as Word, the transcript as TXT, or subtitles as SRT and VTT, and translate the minutes into English for the rest of the team.

Features

What you get from a Japanese meeting

Japanese minutes for the room, an English version for everyone else.

  • Japanese with English mixed in

Meetings that switch between Japanese and English, or are full of English product names, are transcribed without choosing a language first.

  • Kanji and kana, no spaces

The transcript is written in normal Japanese script and stays that way in the DOCX, TXT, JSON, SRT and VTT exports.

  • Speakers named once

Voices are separated automatically. With the bot, participant names from the call are matched to the voices; for uploads, rename each speaker once for the whole meeting.

  • 議事録 structure

Attendees, agenda, summary, decisions (決定事項), tasks with owners and the next meeting, plus detailed narrative minutes.

  • English for the wider team

Translate the minutes or the full transcript into English or any of the 38 languages; the Japanese original stays alongside.

  • Exports for every use

DOCX to edit and file, TXT and JSON for other tools, and SRT or VTT subtitles for talks and videos you publish.

Good to know

Good to know for Japanese meetings

Questions teams in and around Japan ask.

  • Japanese minutes, English summary

A common setup: the team in Japan keeps the Japanese 議事録 and head office or a partner gets the English translation — both from the same meeting.

  • Zoom meetings

Connect your Zoom account once and the bot records the meeting while you take part. Nobody has to run a local recording or share a file afterwards.

  • Polite and casual speech

The transcript follows what people actually said, polite forms and all; the minutes summarise the content instead of repeating it word for word.

  • Meetings in the room

Record an in-person meeting with the iPhone or Android app; it keeps recording with the screen locked.

  • Ask about past meetings

Ask MinutesMaster what was decided in earlier meetings and get an answer with cited moments you can play back.

  • The interface is in English

The web app is available in English and 13 European languages and the mobile apps in English, but not in Japanese. Your transcripts and minutes stay in Japanese unless you translate them.

FAQ

Frequently asked questions

Can MinutesMaster transcribe Japanese audio to text?
Yes. Upload an audio or video file up to 2 GB, record in the browser or the mobile app, or send the bot to a Zoom, Teams or Google Meet call. You get a Japanese transcript with speakers separated by voice, plus minutes.
How do I get an English version of a Japanese meeting?
Transcribe the meeting in Japanese, then translate the minutes or the full transcript into English. The Japanese original is kept, so you can switch between both versions.
Does it write 議事録 (meeting minutes) in Japanese?
Yes. By default the minutes follow the meeting’s language, so a Japanese meeting gets Japanese minutes with a summary, decisions, tasks with owners and the next meeting. You can edit them before exporting.
What about meetings that mix Japanese and English?
Mixed-language meetings are supported. You don’t pick a language before processing, and the transcript follows what was said.
Can I try Japanese transcription for free?
Yes. New accounts get 5 free credits — 2.5 hours of audio — once, without a credit card, so you can test it on your own recordings.
How much does it cost after the free credits?
1 credit covers 30 minutes of audio, whatever the language. New accounts get 5 free credits (2.5 hours) once, without a credit card; after that, credit packs start at €9 for 5 hours, Pro is €19 a month (40 credits, 20 hours) and Business €49 a month (120 credits, 60 hours).
Is my meeting used to train AI?
No. MinutesMaster never uses recordings, transcripts or minutes to train AI models. Meetings stay private unless you share them with a team, and you can delete them at any time.
